A technician fixes a washing machine and leaves. The job card says "completed". Was the customer happy? Was the technician polite? Did the problem return the next day? Your system says nothing, because nobody asked.
For most field businesses, the visit is the product. The customer rarely meets anyone else from your company. Customer feedback software for field teams collects the customer's view right after the visit, links it to the person and the job, and shows patterns you cannot see from job counts alone.
Why feedback matters more for field teams
- Your people work unsupervised. A manager cannot attend every visit. Feedback is the nearest thing to being there.
- Problems show up late. A customer who is unhappy often does not complain. They simply go elsewhere.
- Counts hide quality. A rep who completes 12 visits a day may be rushing. A rep who completes 9 may be earning repeat orders.
- Coaching needs evidence. "Customers say you are rushed" is more useful than "I feel you are rushing".
What is NPS, and how is it calculated?
Net Promoter Score (NPS) comes from a single question: "How likely are you to recommend us to a friend or colleague?", answered on a scale of 0 to 10. Using the standard method:
- Promoters score 9 or 10.
- Passives score 7 or 8.
- Detractors score 0 to 6.
NPS is the percentage of promoters minus the percentage of detractors. Passives count in the total but not in the subtraction. The score ranges from minus 100 to plus 100.
NPS is only one way to measure satisfaction. For field work, you may also want a simple 1 to 5 rating of the visit, plus a short comment. Use NPS for the relationship, and the visit rating for the specific job.
What good customer feedback software does
Triggers feedback after the visit
The request should go out when the job closes, while the visit is fresh. Waiting a week reduces both response and accuracy.
Keeps it short
One rating question and one optional comment will get more answers than a form with ten questions. If you need more detail, ask only on low scores.
Links feedback to the rep, the job and the customer
A score on its own is a statistic. A score linked to a technician, a job type, a city and a date is something you can act on.
Builds a quality score for each rep
Over time, ratings can produce a quality score per person, shown alongside visit counts, SLA compliance and other KPIs. Remember that small samples mislead. A rep with three ratings is not comparable to one with thirty.
Flags low scores quickly
A detractor who is contacted within a day can often be won back. One who is ignored tells others. The software should alert a manager when a low score arrives.
Reports by team, area and time
You should be able to see trends, compare teams and spot where problems start.
How to ask for feedback without annoying people
- Ask once per visit, not once per day.
- Offer the option in the customer's language. India has many.
- Let the technician hand over the phone or send a request, but do not let them fill it in for the customer.
- Do not link rep bonuses only to feedback scores. This invites pressure on customers to give a 10.
- Tell customers what you did with their feedback. It raises future response.
Closing the loop
Collecting scores is the easy half. The value comes from what you do next. A simple loop looks like this:
- Alert: a score of 6 or below creates a task for the team lead.
- Call: the lead contacts the customer within one working day.
- Fix: the issue is resolved or a revisit is arranged.
- Record: the cause is logged, for example late arrival, wrong part, rude behaviour or unclear pricing.
- Review: monthly, look at causes and fix the top one.
Examples
Connecting feedback with the rest of operations
Feedback is most useful when it sits next to other data:
- With SLA data, to see if late jobs get lower scores.
- With proof of visit, to settle disputes where the customer says the work was not done.
- With KPIs, to balance quantity with quality.
Limits and risks
- Low response rates. Only a portion of customers reply, and those with strong views reply most. Look at trends, not single scores.
- Bias. If staff select which customers are asked, results will be skewed. Send requests automatically.
- Unfair comparison. A rep who handles angry-customer repairs will score lower than one who does routine installs. Compare like with like.
- Privacy. Customer contact details and comments are personal data. Limit access and tell customers how their reply is used.
How to choose customer feedback software
- Can feedback be triggered automatically when a job closes?
- Does it support NPS as well as simple ratings and comments?
- Is the feedback linked to the rep, job, customer and location?
- Does it alert managers to low scores?
- Can it work in several languages?
- Does it sit inside your field platform, or is it a separate tool needing another login and manual matching?
Where FieldExecutives fits
FieldExecutives includes post-visit customer ratings and NPS, with a quality score for each rep, alongside real-time KPIs and leaderboards. Because feedback sits in the same platform as visits, SLA timers and proof, you can see a rating next to the job it belongs to. The app supports Hindi, English and regional languages.
